Letter from the Board of Directors to the Imagery Art Club regarding the use of the Amenity Cabins.

Dear Imagery Art Club-
 
I am writing to you on behalf of the Board of Directors as a follow-up to the Board Meeting held on March 15, 2023, as it pertains to discussions held surrounding the Art Club and permitted usage of the facilities for art activities.
 
In an effort to alleviate any further confusion or question regarding the permitted usage of the facilities please find the Board’s decision on this matter as reviewed during the meeting yesterday evening.
 
 
General Use: All clubs, committees and owners are permitted to utilize all studios providing that the studio is returned to its original condition following its use behind each event and/or activity and the studio is confirmed to be available on the date requested.  
 
Yes, the Art Club and any other club is welcome to use any of the studios at any time providing they meet the conditions listed above. 
 
Gallery: The Board announced in early 2022 that the Gallery Building would remain in its current state of use with no changes or alterations to the use of the space until which time governance transition occurs. Following the governance transition the community at large can then determine the best use and future for the Gallery Building. 
 
At this time, the Gallery Building will continue to be used consistent with historic practices for onsite staff and meetings of small groups to include clubs or committees as the space is available. All other activities and functions are required to be held in the studios as described above and all art club materials or supplies are required to be housed in the Textile Studio. 
 
The Gallery is not part of the original amenity package for Imagery. This building was the original sales center and was deeded in error to the Association by the Developer. Upon conveyance of the Building the Association spent about a year evaluating the building and determining the best course for future use. After much deliberation back and forth with standing committees, the Board and CAMS, the Facilities Committee and Board agreed that no change in use or future would be determined until after governance transition. A temp permit was secured for standard use and office use by staff. 
 
Then that brings us to where we are today and to follow my response above. The Gallery will remain in its current use structure today and will be usage opportunities will be provided equally to all owners, clubs and committees until following governance turn over. The Art Club can meet there but no activities or storage of supplies is permitted as it is not for any other club of committee.

Storage of Supplies: All art materials, paints, canvases are required to be stored and housed in the Textile Studio. The Textile Studio was designed for art activities of this nature. CAMS Management is in the process of evaluating lighting and spacing options to ensure that all members, committees and clubs are able to have the opportunity to enjoy and utilize the space equally. 
 
Gallery Usage: If the art club would like to have a meeting without activities or storage in the Gallery Building, that action is permitted. This provides for equal use of the Gallery which is permitted and provided to all clubs, committees and owners. Art activities and storage would not be permitted in the Gallery Building.
